Creating Draws: Round Robin


To get started, select the "Event Desk" button on your event page. Note: The Event Desk button will appear after the registration has been closed. If no existing draws, you'll be prompted to choose how you like to schedule your matches. 

Then you can either:

  • Start by creating a new empty draw
  • Go to the All Players List and start creating a draw by selecting players

Option 1: Create Draws

This is our traditional way of creating draws. From the welcome page of your Event Desk, click the Create Draw button and the create draw sidebar will appear.  

Option 2: Create Draws from All Players List

This feature allows you to add selected players to a specific draw. From the welcome page of your Event Desk, click the All Players List button and you'll be redirected to the list of all of your registered players. Here you can arrange the players according to their name, Singles/Doubles rating, and age or filter the players based on their gender. You also have the option to search for a specific player. Once you have ticked your selected players, click the "Add To" button at the top then, click "Add To New Draw" and "Create Draw".

AUTOMATED DRAWS

This feature enables the creation of multiple groups within Round Robin divisions for larger player groups, ensuring correct linkage of draws and reducing manual effort and maintenance.

Note: The automated draw feature will only be available after selecting a group of players. If you click the "+ Create Draw" icon without selecting players, this option will not appear.


Three group placement options:

  • Level-Based Draws: 
    • Select the number of guaranteed matches each player will play.
    • Players are grouped with others closest to their UTR rating.
    • The draw size is determined by the number of guaranteed matches, aiming to create the most competitive experience.

For example, with 40 players ranging from a UTR of 2 to 8, if a provider guarantees 3 matches per player, the system will create 10 groups of 4 players, grouping them as closely by rating as possible (e.g., one group with players between UTR 2-3, another with players around UTR 7).

  • Snake Draws:
    • Specify how many groups to create instead of guaranteed matches.
    • Top players are split across groups.
    • Players are filled in a snake-like order, ensuring the closest UTR average across groups.
  • Seeded Draws:
    • Choose the number of groups.
    • Top players are seeded across groups, while the remaining players are randomly selected.
    • The number of groups equals the number of seeds.

Note: For snake or seeded draws, there is an option to add playoff draws for group winners, where group players feed into playoffs. You can select either 1 or 2 players to advance from each group and may also opt for a 3rd place match.

PLAYOFF DRAWS

Playoff draws are a new feature that allows the automatic creation of playoff draws (child draws) connected to the main (parent) draw. This feature is useful to advance top players from a main draw into playoff rounds.

For example, if a 6-person round-robin wants to advance the top 2 or 4 players to a playoff draw, this feature will handle that transition automatically. Players who earned a spot in playoffs will move to the playoff draws as soon as their main draw is complete.

Things to note:

  • If 4 or more players are selected to advance, there will also be an option to add a bronze medal playoff match.
  • Players are moved to the playoff draws only after all match results in the main draw are entered. For instance, in a round robin with 3 rounds and 6 matches, players advance to the playoff draw only after all results are recorded.
  • Players will automatically move into the playoff draws based on their standings in the round robin draw. 
  • Once players advance, they will be placed into the playoff draw bank but not auto-placed. This allows to review and confirm player advancement before placing / seeding players in the playoffs. 
  • Playoff seeding is based on standings from the main draw, not ratings.

MANAGING EXISTING DRAW

The Player Bank or the list of players you see that have registered for your event. You also have the option to sort players according to their UTR, name, or status within the draw. You'll see all the players that have registered under Players Not in Draw. For them to be moved into the Round Robin, you'll need to move them into the Not Placed category first. Select their names and click "Add to Draw".  

After you've populated your Players Bank, you can either set up matches manually or click "Auto-Fill" to fill the draw automatically:

If you choose autofill, you'll see a message like this:

Once you click "Confirm", the draw will be automatically filled.  It should have the players in matches and look something like this:

Once you have the players placed in the draw to your liking, you can then enter in times, dates, and locations for the Rounds or each match. You have the option to do this by round by clicking the “Set Location" and "Date & Time” under the round or you can do it by individual matches by clicking the “Set Date & Time” and "Set Location" on the match details box. 

Once the times are entered, you can then choose to "Publish" the draws. Publishing draws makes them visible to anyone viewing the main event page. To Publish the draws, click the "Publish" button on the top right of the page, and select each draw you would like to Publish.  Please note that only the draws that are checked will be published.

 Hint: If you ever need to unpublish the draw, uncheck the boxes and click publish. Draws that have scores, cannot be unpublished.

Once the draws have been published, you will then be taken to the event homepage. There you can scroll down and click on the “Draws” tab to view the draws.
